Zap!: Student Intervention Template

One of my summer projects was to simplify our student invention collection system in our school (the last version involved multiple sheets, spreadsheet keys and a whole lot of other mess).

The overall idea is that teachers go in and select students from our school in a Google Docs spreadsheet. The spreadsheet compiles this list and sorts it by homeroom teacher. When we want to round this group up at the end of a given day a button can be clicked that will email each homeroom teacher with a list of the kids in their room that need to report to the library.

Some things to note: 

  • Scripted emails through Google Apps take up to 20 minutes or so to send at times so plan accordingly.
  • Data validation is recently more awesome in Google Apps so a teacher can just start typing a student name in the Student List sheet and quickly select the student they are looking for.
  • It works best in this template to have the StudentInfo and Email Homeroom sheets managed by a small group of people.
  • Cells in yellow are intended to be edited--all other cells should be left 'as is' so as to not break any referencing formulas.
